Purpose of Position

Responsible for managing the day-to-day operations to the office of the President and CEO and to provide secretarial / administrative support.

Essential Job Functions

1.     Manage the overall day-to-day administration, scheduling and coordination of the Office of the President.Carry out supervisory responsibilities in accordance with Bank’s policies.

2.     Provide administrative / secretarial support to the President and CEO.

3.     Responsible for all coordination and preparation of materials  for the President and CEO for ManagementCommittee meetings and Board  of Directors meetings.

4.     Respond to inquiries and expedite requests for the Office of the President, as required.  

5.     Answer telephones; route calls to appropriate individuals, respond to inquiries, take messages.  Provide professional and courteous service to all callers. 

6.     Assist with the preparation of materials needed for meetings, customer calls, presentations and all department efforts.

7.     Receive, review and distribute all incoming departmental mail. Respond to routine requests for information.

8.     Prepare and type correspondence, memorandums, and various reports including expense reports and reimbursement tickets.

9.     Coordinate and schedule various meetings and travel arrangements. 

10.  Establish, maintain, and update filing system. Retrieve information from files, as needed.

11.  Maintain and update database of clients, vendors, consultants and various contacts. 

12.  Assist senior management with ad-hoc projects and day-to-day administration.

13.  Maintain attendance records for the department.

14.  Order supplies and stationery for the department, as needed.

15. Perform other duties as directed.

Knowledge, Skills and Experience Requirements

1.     High school diploma or equivalent

2.     Minimum of five years ofadministrative support experience for C-Suite Executives

3.     Strong working knowledge of PCapplications, including Microsoft Word, Excel,     Outlook and PowerPoint

4.     Excellent verbal, writtencommunication, customer service and interpersonal skills

5.     Strong attention to detail

6.     Ability to handle multiple projectsand work under deadlines

 

Must  Haves

 

Previous experience in supporting C-Suite Executives,preferably CEOs, COOs, Presidents

Proven experience in heavy calendaring management

invoicing/expense reporting experience
